In general, a complimentary copy of an individual book or series of books is solicited
only when it is (1) A publication known to be free, or (2) A publication believed
to be available without charge.
Complimentary subscriptions for periodicals are requested only through the Periodicals
Department and should be directed to the Head of the Periodicals Department for processing.
The Periodicals Department is responsible for acknowledgement, checking-in, and claiming.
Solicitation of major gifts (Value: $1,000 or more) is handled by the Director of
University Development and the Dean of Libraries (or designate), with the help of
various other University officers.
In all instances the ultimate decision to accept or reject gift rests with the Libraries
faculty, and, except as authority has been specifically delegated, no commitments
should be made without consultation. All Librarians are encouraged when approached
by a potential donor to pursue such a contact; however, if a gift is accepted, the
donor's signature should be secured on a copy of the Gift Policy to show the donor's
awareness of same.
Evaluations or appraisals will not be given by University Libraries personnel to any
donor for any gift. An assessment of the value of the gift will be provided to the
U of M Foundation Office and the University Development Office on the appropriate
line of their "Receipt of Private Gift(s)" form. This assessment will be based upon
the established 25 cents per volume and 5 cents per issue valuations. The use of
the information is the responsibility of the U of M Foundation Office and University
Development.
Gifts that are assessed at $200 or more require, by University policy, a third party
appraisal prior to acceptance of the gift by the Libraries. (Should such an occasion
arise the Asst. Dean is to be consulted.)
