Departmental Networked Copier Workflow

PLEASE NOTE: The Auxiliary Services Service Center should be the first point of contact for all departmental copier questions or inquiries.

Instructions for Department or LSP

Request Help for Existing Copier

(For common issues such as adding users, enabling scanning to email, printing, toner, copier counts, or hardware issues)

  • End user places call to Service Center at 5234 or by sending email to servicecenter@memphis.edu to request assistance. Please have A# from Mid-South Digital (MSD) tag on front of copier ready, as well as the physical location of the copier.
  • Service Center works with MSD or other appropriate party to assist with issue.

Request New Copier

  • End user places call to Service Center at 5234 or by sending email to servicecenter@memphis.edu to request a new copier.
  • Service Center works with End User to determine location, copier type, etc.
  • End user places work order with Network Services for new Network Drop on copier VLAN.
  • End user's department will be billed for any network work.
    • To request a new Network Drop, create a ticket with Network Services: Login to UMHelpdesk Ticketing System (https://umhelpdesk.memphis.edu).
    • Select "Request Help or Services".
    • Select the "Communication / Network" category.
    • Select the "Network Connection, Install new" category.
    • Fill out the form as appropriate, noting in the message section that the network drop is for a New Networked Copier and needs to be placed on the Copier Network - VLAN 10. You will also need to request an IP address for the device as well.
  • Network Services completes wiring work and provides Service Center with new IP address.
  • Mid-South Digital (MSD) installs new copier using information provided to Service Center by Network Services.

Move Existing Copier to New Location

  • End user places call to Service Center at 5234 or by sending email to servicecenter@memphis.edu to request assistance.
  • End user enters a work order with Network Services to request a new jack on copier VLAN in new location, or to move existing network jack copier VLAN.
  • End user's department will be billed for any network work.
    • To Request a New Network Drop in New Location for Existing Copier
    • Login to UMHelpdesk Ticketing System (https://umhelpdesk.memphis.edu).
    • Select "Request Help or Services".
    • Select the "Communication / Network" category.
    • Select the "Network Connection, Install new" category.
    • Fill out the form as appropriate, noting in the message section that the network drop is for a Networked Copier and needs to be placed on the Copier Network - VLAN 10. If the copier is moving to a new location in the same building, you do not need a new IP address.
  • NOTICE: If the copier is moving to a new building, you will need to request a new IP address and provide Network Services with the old IP address.

OR

  • To Request Existing Network Drop be Configured for the Copier Network
    • Login to UMHelpdesk Ticketing System (https://umhelpdesk.memphis.edu).
    • Select "Request Help or Services".
    • Select the "Communication / Network" category.
    • Select the "Report a general problem not listed above" category.
    • Fill out the form as appropriate, noting in the message section that you need to reuse an existing network drop for a Networked Copier and it needs to be placed on the Copier Network - VLAN 10.
  • Network Services notifies Service Center when network work is complete, and if any IP address changes have been made.
  • Service Center will notify MSD that the copier is ready to move.
  • MSD moves the device and makes any necessary changes.
