Instructions for Konica/Minolta | Instructions for Dex (Departmental Networked Copier Workflow)

Procurement and Contract Services provides copiers to departments to meet departmental copying needs. All copiers on campus are purchased or leased through Procurement and Contract Services. Departments will be billed on a per copy basis and the price per copy covers all costs except paper.

Procurement and Contract Services also furnishes all public copiers on campus. Copies are sold using Tiger Funds (declining balance cards on University ID card). Prices are set to cover the cost necessary to make copy service available to students at the lowest cost possible.

Meter readings are taken monthly by the key operator and recorded in the BusinessHub. Departments are billed on a per copy basis.

How can I get replacement toner cartridges?
Send an email to gcs@kmbs.konicaminolta.us, including the 8-digit serial number on the machine and whether you need black or color toner. If the need for toner is urgent, email servicecenter@memphis.edu and we may have some you can pick up immediately.

How can I get my machine serviced/fixed?
Send an email to gcs@kmbs.konicaminolta.us, including the 8-digit serial number on the machine and describing the problem. They will reach out to you shortly.

I’ve emailed Konica-Minolta and haven’t heard back. What do I do now?
Email servicecenter@memphis.edu and we will escalate the service call.

How much will the machine cost my department?
Each machine will have a monthly lease cost, plus per-click charges. The lease cost depends on your specific machine and setup, but the average is about $116/month. The lease cost is only for three years, then we will own the machines outright and only pay the per-click charges. The per-click charges also vary by machine. For black and white printing, they range from 0.5 cents to 1.1 cents per click, and for color, they range from 3.8 cents to 6.5 cents per click.

My machine won’t scan large documents—what is going on?
There was an issue with scanning documents longer than 20 pages. This issue should be resolved—if you are still having trouble please let us know.

When I scan, why can’t I send to other people?
This function is unavailable on the machines at present. Scanning to yourself and then forwarding the email is the best option.

I want to send things to the printer queue from my home computer. Is this possible?
For now it is not possible.

I hate having to enter my PIN every time I print. Can we “unlock” a machine so we don’t have to do that constantly?
Yes, though there are drawbacks to consider:

  • Printer waste consisting of documents being printed and never picked up;
  • Security issues involved with confidential documents being printed and sitting on the printer until picked up; and
  • Jobs printed from the machine and associated costs will not be tracked.
