Automatic Forwarding of University Email

Each user at the University of Memphis is assigned a unique memphis.edu email address. The UofM uses Outlook as its mailbox service. As stated in the "Email Forwarding" section of University Policy IT6008 - Email Use:

University email may be forwarded to personal email accounts provided by other services (e.g., Gmail, Yahoo!, Hotmail, etc.). The University of Memphis does not provide support for personal email accounts. Users who forward mail to personal email accounts are responsible for ensuring successful delivery of emails to those accounts. However, the University reserves the right to administratively remove email forwarding for any user whose destination email service returns emails as undeliverable. Users who forward email are responsible for ensuring the protection of any University information contained within the email in accordance with the IT6005 - Data Security Policy. Users should also be aware that use of a personal email account for conducting University related business may be subject to open records request.

Before deciding whether to forward University email to an external email address, users should consider the associated benefits and disadvantages.

Cannot receive IT support for external email services

 

Cannot send or reply from UofM account using external email service. Generally, University business should be conducted using memphis.edu email address to avoid confusion or mistrust.

 

Lack of integration with University-supported tools (OneDrive, Teams, etc.)

Regardless of email service used, all University of Memphis account holders are responsible for following University Policy IT6008 - Email Use and other policies governing technology use. Redirecting email in iAM

Users can use the iAM Identity Management service to redirect incoming messages to a personal email address. Copies of received emails will be kept in the user's UofM email account.

  1. Visit iam.memphis.edu.
  2. Log in with your UUID and password.
  3. If prompted, authenticate with Duo.
  4. Select Modify Email Preferences.
  5. Select Set Email Delivery Destination.
  6. Enter the email address you would like your university email forwarded to.
  7. Select Submit.

Note: Please allow up to 24 hours for the change to take effect.

Enabling automatic email forwarding in Outlook

Alternatively, users can set up automatic email forwarding in Outlook.

  1. Visit https://ummail.memphis.edu/.
    1. If you are not already signed in, you should see the UofM SSO login screen. Enter your UUID and password to log in.
    2. If prompted, authenticate with Duo.
  2. Once Outlook has loaded, select the gear icon Settings icon at the top of the page to open the Settings menu.
  3. Select View all Outlook settings.
  4. Select Mail and Forwarding on the menus.
  5. Select the box next to Enable forwarding and enter the email address you would like your University email forwarded to.
  6. If you would like to keep a copy of the original message in your UofM Outlook inbox (recommended), select the box next to Keep a copy of forwarded messages.
  7. Select the Save button at the bottom of the menu.
